In the event that any destination mentioned in the itinerary becomes inaccessible due to weather conditions, local strikes, or natural calamities such as landslides or river overflows, an alternative location will be arranged.

The final decision regarding the alternate destination will be taken on the spot by the trek leader, based on real-time conditions and safety considerations.

Light jacket/hoodie  (it can get cool during evenings)

Reusable water bottle 

Carry an extra polybag or waterproof bag  to pack your wet clothes, towels, or muddy shoes after water activities.

Keep a few ziplock bags handy for mobile phones, wallets, or electronics during water adventures. 

Power bank  (no guaranteed charging points outdoors)

Snacks  (energy bars, dry fruits, biscuits)

Valid Govt ID Proof  (Mandatory)

Camera/GoPro  (optional but recommended for memories)

Note:

• Avoid carrying valuables or expensive gadgets.

• Pack light and smart — you’ll have more fun without heavy luggage! 

• Keep plastic usage minimal; respect nature 

No refund shall be made with respect to the initial booking amount for any cancellations under any circumstances.

CANCELLATION & POSTPONEMENTS BY ORGANISER(S):
MOW (Meet Over The Weekend) reserves the right to cancel an event under the following conditions:

• If the minimum number of travellers (8) is not met.
• Due to external factors beyond our control, such as natural calamities (heavy rains, earthquakes, landslides), strikes, bandhs, curfews, virus outbreaks or other unforeseen emergencies.

In such cases, the MOW team will inform you about alternative event options.

You can choose to:

• Transfer your booking to another available event.
• Opt for a full refund (Transportation cancellation charges will be deducted).

All refunds will be processed via bank transfer to the traveller’s account within two business weeks.

CANCELLATION POLICY BY THE TRAVELLER (YOU):

• Cancellation within 48 hours of the event start time:
  No refund will be provided.
  Last-minute cancellations due to personal reasons, such as work or health, will not be entertained.
  No ticket transfer or postponement will be permitted.
• Cancellation between 3 to 6 days before the event:
  Tickets can be transferred to a friend. We would be happy to accommodate them, saving you from a financial loss.
• Cancellation 7 or more days before the event:
  50% of the trip amount will be refunded (excluding payment gateway charges).
  Refunds will be processed via bank transfer within two business weeks.

1. Booking Confirmation:

   • Your seat will be confirmed only after receiving full payment.

   • Partial payments are not considered bookings.

2. Cancellation Policy:

   • No refund will be provided if cancellation is made less than 48 hours before the trip.

   • 50% refund if cancelled 7 days before the event.

   • In case of trip cancellation from the organizer’s side (due to unforeseen situations like weather conditions, political unrest, low participation, etc.), a full refund will be provided (transportation cancellation charges applicable).

3. Trip Itinerary Changes:

   • The itinerary is subject to change based on weather, road conditions, and other external factors.

   • Trip captains have full authority to modify the plan to ensure participant safety.

4. Transportation:

   • Transportation provided will be as per the group size and based on availability.

   • Seats will be allocated on a first-come, first-served basis.

5. Behaviour and Discipline:

   • Participants are expected to maintain discipline and cooperate with the team and fellow travellers.

   • Use of alcohol or drugs during the trip is strictly prohibited.

   • Any misbehaviour with fellow participants or staff will lead to removal from the trip without any refund.

6. Liability:

   • MeetOverTheWeekend (MOW) is not responsible for any personal injuries, loss of belongings, or damage during the trip.

   • Participants must take full responsibility for their personal belongings throughout the journey.

7. Medical Conditions:

   • Participants with any medical conditions must inform the organisers in advance.

   • It is advised to carry personal medication if required.

8. Accommodation:

   • Accommodation will be provided on a sharing basis (triple/quad sharing, unless specified otherwise).

   • Accommodation will be arranged separately for men and women.
     If you require a couple-sharing room, kindly inform the team in advance to make necessary arrangements.

9. Travel Insurance:

   • Travel insurance is not included unless specifically mentioned.

   • Participants are advised to carry valid identity proof.

10. Environmental Responsibility:

    • Participants are expected to respect nature and avoid littering during the trip.

    • Kindly use the dustbins and avoid using single-use plastics.
